HVAC Maintenance Checklist Pack: Ready-to-Use PPM Checklists for Chillers, AHUs, FCUs, VRF & More
Most HVAC breakdowns don't happen suddenly. A condenser coil clogs over months, a pump bearing starts running hot, a belt slowly loses tension, and nobody writes it down, until the chiller trips on a 45°C afternoon and the whole building calls the FM team at once.
Good planned preventive maintenance (PPM) catches those problems early. But on most sites the weakest link isn't the technician, it's the checklist. That's exactly why we built the HVAC Maintenance Checklist Pack.

Why preventive maintenance breaks down on most sites
After more than a decade in MEP/HVAC design and building services, we keep seeing the same pattern on commercial and residential projects:
Every technician uses a different checklist, or none at all. Inspections depend on who is on shift.
Checklists are copied from an old project and no longer match the equipment actually installed.
Readings aren't logged. Without amps, voltage, temperatures and pressures on record, you can't see a fault developing.
Defects are spotted but not closed out. There's no line for corrective action, so the same issue appears month after month.
No sign-off, no audit trail. When a client or auditor asks for maintenance records, there's nothing consistent to show.
The result: more breakdowns, higher energy bills, shorter equipment life, and difficult conversations with building owners.
What's inside the HVAC Maintenance Checklist Pack
Ready-to-use PPM checklists for all the main HVAC equipment in a typical building, so your team inspects the right items, at the right interval, every time.
System | Equipment covered |
Central plant | Chillers (air-cooled and water-cooled), cooling towers |
Hydronics | Chilled water and condenser water pumps |
Air side | Air handling units (AHUs) and fresh air handling units (FAHUs) |
Terminal units | Fan coil units (FCUs) |
Ventilation & life safety | Exhaust, supply and smoke extract fans |
DX systems | Split, ducted split and VRF systems, packaged units |
Every checklist follows the same proven structure
Consistency is what makes a checklist useful. Whether it's a chiller or a split unit, every sheet includes:
Daily, monthly, quarterly and annual tasks – one clear frequency structure across all equipment.
Equipment details – tag no., location, date and technician.
Reading logs for amps, voltage, temperatures and pressures, so you can trend performance over time.
Remarks, defects found and corrective action – so issues get closed out, not just noted.
Technician and supervisor sign-off – a clean audit trail for clients, consultants and handover.

Who it's for
Facility managers and FM companies standardising PPM across one or many buildings.
HVAC maintenance contractors and technicians who want professional, consistent inspection records.
MEP engineers preparing O&M manuals and handover documents.
Building owners setting up a maintenance routine for the first time.
What you get
Print-ready PDF checklists for site use.
Editable Excel files – add your own company logo and adapt tasks to your equipment.
Instant download and lifetime access, including future updates.
A standard checklist makes inspections consistent, easy to audit, and easy to hand over between technicians or shifts. That's where reliable HVAC performance starts.
5 tips to get the most out of your PPM checklists
Build the asset register first. Give every unit a tag number and location before the first inspection, so records can be traced to a specific machine.
Record baseline readings. Log amps, pressures and temperatures at commissioning or at the first visit. Every future reading is compared against this.
Trend, don't just tick. A rising motor current or a growing approach temperature tells you far more than a checkbox marked "OK".
Close the loop on defects. Every defect should have a corrective action, an owner and a date, and should be checked again on the next visit.
Align with the manufacturer's O&M manual. Adjust intervals for your equipment, operating hours and climate, and keep warranty requirements in mind.
Frequently asked questions
What format are the checklists in?
You get print-ready PDF checklists plus editable Excel files, available as an instant download.
Can I add my company logo and edit the tasks?
Yes. The Excel files are fully editable, so you can add your logo and adapt tasks to the equipment on your site.
Which equipment is covered?
Chillers (air-cooled and water-cooled), cooling towers, AHUs and FAHUs, FCUs, chilled water and condenser water pumps, exhaust, supply and smoke extract fans, split, ducted split and VRF systems, and packaged units.
Do these replace the manufacturer's O&M manual?
No. Always follow the manufacturer's O&M manual and your local regulations. These checklists are a practical framework to organise and record your maintenance, not a replacement for them.
Can I share or resell the files?
The pack is licensed for use within your own organisation. Resale or redistribution of the files is not permitted.
Stop writing maintenance checklists from scratch
For less than the cost of one emergency call-out, your team gets a complete, consistent PPM system for every major piece of HVAC equipment, ready to print today.
